The library consists of three types of artefacts: a detailed step-by-step process guide and associated support tools and documents; a collection of invaluable document templates; and, a suite of models covering the technical, commercial and financial aspects of the business process of procurement. Detailed Process GuideThe detailed process guide is the “glue” that brings everything together. It is designed to allow an intelligent, relative novice, to drive the business process from start to finish. It includes a detailed, step-by-step description (with diagrams) of all of the sub-processes, tasks and activities that need to be performed and the order in which they should be completed. There is a linkage from the sub-processes, tasks and activities to the various artefacts that are required at the various stages of the process. There is also a visual representation of the Procurement Process that may be used as a training aide.
Document TemplatesDocument templates are the tools that are used throughout the process to specify, request, educate, capture, report, communicate, negotiate and execute activities. These documents take the form of: plans, specifications, requests, checklists, registers, correspondence, management reports and recommendations to name a few. Many of these templates have been filled with sample information which can be used, amended or discarded to suit a particular case.
Assessment ModelsAssessment Models are detailed spreadsheet models designed to capture data in relation to the business process and to bring multiple sources of data together.
For example in the Procurement Management business process, there may be several team members carrying out individual evaluations of several bidders. The evaluation model allows the results from each team member to be recorded, syndicated and synthesised into a consolidated and summarised assessment. We have models for both technical evaluations and commercial evaluations. We also have an excellent Total Cost of Ownership model. All models have a sound mathematical basis which is available for our clients’ interest in the Appendices of the detailed process guide. I have been involved a most aspects of procurement management and have spent a substantial part of the past 25 years working and learning the business.
